At past NWCons there have been a few elements you may want to consider:
* An in-game social room, sort of like a mini-PW, open throughout.
* An open IRC chatroom.
* Hosted chat events. At one Con I remember a chat where several Bioware staff members were in attendance. I participated in another that provided suggestions for DMing a NWC-style game that went pretty well; I seem to recall Fleet Street and DMFI being involved. These will definitely need to be moderated, with a few individuals empowered to post questions, while the audience listens in. If you go this way, you will want to have a chat coordinator, someone familiar with the ins and outs of IRC. I'll say now that this requirement disqualifies me right off.
* Prizes for participation. I still use my Bioware steel mug and hat.
* A master schedule of games. We don't currently have the ability to modify the site, but something could definitely be set up as a stickied forum thread.
* Off-site advertising. Seems you've already covered a lot of this in the other thread.

PC took the words out of my mouth. We might even get Bioware involvement by timing with the 1.69 release. The old Cons were as much about game information as playing.
Though CEP 2.1 has already been released.

We need to have time to plan and execute this well, so we can't just rush in on short notice.

i'm gonna go out on a limb here and say that someone needs to step up to the plate and be the organizer. the chicken don't run too far without a head, ya know?
i will be glad to host the Welcome Inn and run an event or two, but i'm not gonna gonna head the entire weekend. and until a clear leader comes forward to organize and motivate, it's all just a bunch of talk.

There's also been a couple of posts regarding potential problems with CEP v2.1 overwriting NWN v1.69 content, namely cloaks and Satyrs.

You know, holding a con with a buggy release of CEP 2.1 probably isn't the best option. I was planning on rebuilding an old mod using 1.69, CEP 2.1 and Worms tilesets to showcase new content, but it sounds like some shakedown time is in order, which is good since we aren't even close to ready anyway.
Technically all we really need for a Con is an ad at the vault, a forum post on the Bioware forums, and a dozen or so folk committed to running some open content. I'm certainly willing to run some open content, and a forum post at Bioware is easy enough. Welcome Inn hosting is nice to, as would be some Q&A's on new content. Maybe Barry would be willing to hang out at the Welcome Inn and answer some questions about CEP 2.1 and 2.2 at a set time.
Basically, just because Cons of the past had a ton of stuff in them, doesn't mean we can't run one with less. We're smaller now. Every NWN community is. Let's wait and see how 1.69 goes on release, and then set a date.
We may also want to consider something like the Welcome Inn for NWN2, and inviting PW's to use it as a recruitment time.

The Con is an online gaming convention. We promoted it to the proper media outlets, held lots of open games, had IRC chat rooms with NWN bigwigs, and awarded prizes to best games, DMs and players. It was held over a weekend and was generally very successful. It has been a while since the last one was held.
Mulu, while I don't disagree with you that this particular Con doesn't need to be as grandiose as they have been in the past, I do believe that some form of project management, if you will, needs to be done. You have already suggested something that goes beyond running a few games, but Barry hanging around the Welcome Inn to answer questions is iffy at best unless it's at a set time that is advertised. Someone needs to contact Barry to arrange a schedule, possibly post an outline of what is to be discussed, etc.
I would also go as far as to say that this Con, if it happens, needs to be just as much about NWN2 as it does NWN. Please do not derail this thread with another discussion of why one is better than the other, or why you don't want to play NWN2, but I believe it is important to not limit ourselves in this regard. Also, I would venture a guess to say that Rob would be happy to lend some face time to a NWN2 chat/discussion.
HOWEVER, if the community here just wants to hold a few open games, the Welcome Inn and maybe some open PW games, then that is what the community decides.
edit: I agree that we should see what 1.69 holds and give time for the mod folks to fix any bugs that arise from that patch. Then we can discuss a date.

I agree with Mulu in that we should start small; the event can always grow. I'd say the minimum framework is a time period for folks to run games (Fri-Sun works), a master schedule that is frequently updated (stickied in the General forum), a few "events" to make it more than just a few games being run (I'd shoot for maybe 2-3 IRC chats, and something like a Bioware/Obsidian chat OR a game with a developer playing, something like that). Door prizes are a good idea, allowing people to donate to the cause even if they are unable to give time (at past Cons the prizes were distributed randomly to event organizers and players, that seemed to work).
And I think that the event absolutely does need an organizer. A committee can get things done, but there needs to be someone with responsibility to ensure that things are followed through. I regret that my schedule keeps me from volunteering to head the whole thing, but I would be happy to support the event by running games (maybe a few X-COM one-shots) or participating in a chat event, and would be willing to kick in some prizes as well (perhaps some 4th edition D&D manuals, or something similar). In the past I participated in a chat about DMing skills that went pretty well. I think a number of DM101 runs with a veteran DM showing others the ropes should also be a priority.
If people wanted to set this up in an organized way I'd say a committee of the following should be set up:
* Organizer (chair of event committee, responsible for seeing that everything gets done)
* Public relations/advertising (post info at the Vault, other NWN1/2 sites, Bioware forums, etc... be creative). Getting an artist on board is helpful, as a logo helps capture the event and make it more impressive.
* Prize coordinator (collects prizes/commitments from NWCers, contacts Bioware/Obsidian to see if they have any swag lying around, runs mechanism for selecting recipients, responsible for seeing that prizes are sent from those donating to winners). Even if this is just a few NWCon T-shirts this makes a big difference, in my opinion.
* Games coordinator (responsible for keeping the scheduling thread current with the list of games)
* Chat coordinator (responsible for setting up and organizing the chat events)
* Welcome Inn coordinator (responsible for hosting the PW that weekend, maybe setting up mini-events there)
There might be some overlap there, but those are the main things I can think of. I'd say that once the committee is selected then each coordinator should have his/her own thread to discuss progress/ideas.

Actually, Purple, your time zone is great because most of us are gonna schedule things for East Coast US and GMT friendly... finding someone for Pacific Time US and Asia is a great boon.
Good post, LB. I like the outline you suggest. Since I have already said that I would host the Welcome Inn, I will gladly take responsibility for that. I'll bust it open in the toolset and see what stuff might should be added.
I have some skill with Photoshop and Illustrator, so I can lend my skills there too, tho I think there are people with more skill than I hanging around here.

Isn't Welcome Inn a NWN module?
If so (despite my well documented loathing for all things NWN2) I feel the need to point out in the name of inclusion that NWN2 players won't be able to log in to Welcome Inn. This means that we either need to set up and staff an NWN2 server with a similar theme also, or we need to find some alternative for the chat lounge. Maybe we should look at moving the "virtual lounge" off the game server and finding a venue that players of both platforms can mingle in?
I'd much rather have one IRC chat room with 4 people in it than two game servers with 2 each.

I agree with Mulu in that we should start small; the event can always grow. I'd say the minimum framework is a time period for folks to run games (Fri-Sun works), a master schedule that is frequently updated (stickied in the General forum), a few "events" to make it more than just a few games being run (I'd shoot for maybe 2-3 IRC chats, and something like a Bioware/Obsidian chat OR a game with a developer playing, something like that). Door prizes are a good idea, allowing people to donate to the cause even if they are unable to give time (at past Cons the prizes were distributed randomly to event organizers and players, that seemed to work).
And I think that the event absolutely does need an organizer. A committee can get things done, but there needs to be someone with responsibility to ensure that things are followed through. I regret that my schedule keeps me from volunteering to head the whole thing, but I would be happy to support the event by running games (maybe a few X-COM one-shots) or participating in a chat event, and would be willing to kick in some prizes as well (perhaps some 4th edition D&D manuals, or something similar). In the past I participated in a chat about DMing skills that went pretty well. I think a number of DM101 runs with a veteran DM showing others the ropes should also be a priority.
If people wanted to set this up in an organized way I'd say a committee of the following should be set up:
* Organizer (chair of event committee, responsible for seeing that everything gets done)
* Public relations/advertising (post info at the Vault, other NWN1/2 sites, Bioware forums, etc... be creative). Getting an artist on board is helpful, as a logo helps capture the event and make it more impressive.
* Prize coordinator (collects prizes/commitments from NWCers, contacts Bioware/Obsidian to see if they have any swag lying around, runs mechanism for selecting recipients, responsible for seeing that prizes are sent from those donating to winners). Even if this is just a few NWCon T-shirts this makes a big difference, in my opinion.
* Games coordinator (responsible for keeping the scheduling thread current with the list of games)
* Chat coordinator (responsible for setting up and organizing the chat events)
* Welcome Inn coordinator (responsible for hosting the PW that weekend, maybe setting up mini-events there)
There might be some overlap there, but those are the main things I can think of. I'd say that once the committee is selected then each coordinator should have his/her own thread to discuss progress/ideas.

Actually, Purple, your time zone is great because most of us are gonna schedule things for East Coast US and GMT friendly... finding someone for Pacific Time US and Asia is a great boon.
Good post, LB. I like the outline you suggest. Since I have already said that I would host the Welcome Inn, I will gladly take responsibility for that. I'll bust it open in the toolset and see what stuff might should be added.
I have some skill with Photoshop and Illustrator, so I can lend my skills there too, tho I think there are people with more skill than I hanging around here.

Isn't Welcome Inn a NWN module?
If so (despite my well documented loathing for all things NWN2) I feel the need to point out in the name of inclusion that NWN2 players won't be able to log in to Welcome Inn. This means that we either need to set up and staff an NWN2 server with a similar theme also, or we need to find some alternative for the chat lounge. Maybe we should look at moving the "virtual lounge" off the game server and finding a venue that players of both platforms can mingle in?
I'd much rather have one IRC chat room with 4 people in it than two game servers with 2 each.
